SureSquare (“we,” “us,” or “our”) respects your privacy and is committed to protecting the personal and project information you share with us. This Privacy Policy explains how we collect, use, store, and protect information when you use our website, client portal, takeoff services and SureSquare CRM (together, the “Services”).

Sections 1–4 apply to everyone. Part A covers SureSquare CRM. Part B covers the SureSquare takeoff service. Part C applies to both.

1. Information we collect from everyone

We collect information you voluntarily provide, including:

Personal and business information

  • Name
  • Company name
  • Email address
  • Phone number
  • Billing information (if applicable)

Project information

  • Plans, drawings, specifications
  • Project notes and instructions
  • Uploaded documents and files

Technical information

  • IP address
  • Browser type
  • Device information
  • Pages visited and basic usage data

2. How we use information

We use collected information solely to:

  • Provide SureSquare CRM and roofing takeoff and estimating services
  • Communicate about your account, projects and deliverables
  • Process payments and invoices
  • Improve our website and services
  • Maintain platform security and performance

We do not use your information for unrelated marketing purposes without consent.

3. Service providers

We use a small number of service providers to operate the Services. They process information only on our behalf:

  • Vercel: website hosting
  • Supabase: application database, authentication and file storage
  • Postmark: transactional email, such as sign-up notifications
  • Stripe: online payments, when you enable them
  • Twilio: calls and text messages, when you enable them
  • Intuit QuickBooks Online: accounting, when you connect it
  • Microsoft OneDrive: file access, when you connect it
  • CompanyCam, EagleView and ABC Supply: photos, measurements and material pricing, when you connect them
  • Google: address lookup and maps

We will update this list when we add providers that handle personal or Customer Data.

4. Waitlist and early access sign-ups

If you join our waitlist, we collect your name, email address, optional company name, the products you are interested in and how you heard about us. We use this only to contact you about SureSquare’s takeoff service and SureSquare CRM. You can ask us to remove you at any time.

Part A: SureSquare CRM

A1. Customer Data

When you use SureSquare CRM, you may store information about your own customers, prospects, subcontractors and projects (“Customer Data”). Customer Data you enter can include information about your own customers and contacts (names, addresses, email addresses, phone numbers), your projects, your vendors, your estimates and invoices, and payments recorded against them. For Customer Data:

  • You control what is entered and remain responsible for having a lawful basis to store it.
  • We process Customer Data only to provide, secure and support the Services, and as you direct.
  • We do not sell Customer Data, use it for our own marketing, or use it to train AI models.
  • Access by SureSquare staff is limited to what is needed for support, security and maintenance.

A2. Connected services you authorize

Some services exchange data with SureSquare only because you chose to connect them. When you connect your QuickBooks Online company, SureSquare sends the customers, jobs, invoices, payments, vendors and bills you create in SureSquare to QuickBooks, and may read back related records so the two stay in step. We keep the credential that QuickBooks issues for your connection in encrypted form, use it only for the integration, and discard it when you disconnect. We do not use data from your QuickBooks company for any purpose other than operating the integration, and we do not share it with anyone else.

The same applies to any other service you connect: data moves only as the integration describes, and you can disconnect from Settings at any time. Intuit’s handling of your QuickBooks data is covered by Intuit’s own privacy statement.

Part B: Takeoff service

B1. Deliverables

Clients are responsible for maintaining their own copies of deliverables.

Part C: Applies to both

C1. Plans, drawings and confidentiality

All plans, drawings, and project documents uploaded to SureSquare are treated as confidential.

  • Files are used only to complete requested services
  • Files are not shared with third parties except as required to perform services
  • Files are not used for AI training, data mining, or resale

C2. Data sharing

SureSquare does not sell, rent, or trade personal or project information.

Information may be shared only with:

  • Trusted service providers (hosting, payment processing) strictly as needed
  • Legal authorities if required by law

All third-party providers are required to maintain reasonable security standards.

C3. Data storage and security

We take reasonable measures to protect your information, including:

  • Secure file storage
  • Access controls
  • Encrypted connections where applicable

However, no method of transmission or storage is 100% secure. By using SureSquare, you acknowledge this risk.

C4. Data retention

  • Project files and records are retained for operational purposes
  • We may delete files after a reasonable period unless otherwise requested

C5. Cookies and analytics

SureSquare may use basic cookies or analytics tools to:

  • Understand site usage
  • Improve performance and user experience

These tools do not collect sensitive personal or project information.

C6. Your rights

You may:

  • Request access to your personal information
  • Request correction of inaccurate information
  • Request deletion of your account (subject to legal or operational requirements)
  • Export your Customer Data while your account is active

Our website may contain links to third-party sites. SureSquare is not responsible for the privacy practices or content of those sites.

C8. Children

Our Services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.

C9. Updates to this policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date. Continued use of our Services constitutes acceptance of the updated policy.
